Your data.
Kept to a minimum.
What we collect, why, and the choices you have. Last updated 24 October 2026.
Who looks after your data.
VNCme is made by MW AI Labs Ltd, a company registered in England and Wales (company number 16820880), registered office 83-84 Gloucester Road, Bath, England, BA1 7AU. We are the controller of the personal data described in this policy.
For any privacy question or request, email support@vncme.co.uk.
What we collect, and why.
| Data | Why we use it | Legal basis |
|---|---|---|
| Account: your email address and password | To give you an account where you can see your licences, manage activated computers and manage your subscription. Firebase Authentication handles password storage and sign-in. We do not store plaintext account passwords in our application database. | Contract |
| Licence and subscription: licence key, plan, subscription status, trial and renewal dates | To provide the licence you subscribed to and keep it in step with your subscription. | Contract |
| Payments and tax: handled by Stripe, including your billing address and, if you give one, your business VAT or tax number. We receive your Stripe customer and subscription references and payment status. | To take payment, manage renewals and refunds, and work out and report the VAT or sales tax due where you live. We never see or store your full card details. | Contract; legal obligation (tax and financial records) |
| Activated computers: a device identifier for each computer you activate, and when it was activated | To limit each licence to the number of computers your plan allows. We use a device identifier to recognise an activated computer and associate it with your licence and account. We treat this identifier as personal data. It is created from an identifier Windows assigns to the computer, and it does not itself contain your name or the contents of your files. | Contract |
| Licence checks: about once a day while it’s running, the VNCme app sends your licence key and device identifier to vncme.co.uk. We log activation attempts (licence key, machine ID, time, result). | To confirm your licence is still valid, and to detect and prevent misuse of licence keys. | Contract; legitimate interests (preventing misuse) |
| Service emails: your email address | To send your licence key, activation confirmations and messages about your subscription, such as trial-ending, renewal and failed-payment notices. These don’t include marketing. | Contract |
| Mailing list: your email address, when and on which page you signed up, your browser type, and the wording you agreed to | To send the updates described on the signup form when you joined, only if you ask to join. You can unsubscribe at any time by replying to any of our emails or emailing support@vncme.co.uk. We then keep your address marked as unsubscribed, so you aren’t added or emailed again by mistake. | Consent |
| Support: whatever you send us, such as a screenshot | To answer your question. | Legitimate interests |
| Website technical data: IP address and browser details | Our hosting provider processes these to deliver and protect the website. | Legitimate interests |
Your screen stays between you and your viewers.
- In normal use of the app, we don’t receive, see or store your screen, your viewers’ input or your viewer passwords. Screen sharing runs from your computer to your viewers’ browsers. (If you choose to send us something, such as a screenshot for support, we’ll see what you send.)
- In public tunnel mode, the connection passes through Cloudflare’s network. In Tailscale mode, Tailscale connects your devices directly where it can, and relays the encrypted connection through its servers when it can’t. Those are independent services, and their own privacy policies apply.
- VNCme’s email feature sends through your own email account. We don’t receive those emails, and your email password stays in Windows Credential Manager on your computer.
- We don’t use analytics, advertising or tracking on this website, and we don’t sell your data.
Only the services that run VNCme.
We use the following providers to operate VNCme. Some process personal data on our instructions; others also process information for their own purposes, as described in their privacy notices. Stripe, for example, also uses payment information for its own fraud prevention and legal compliance.
| Provider | What for |
|---|---|
| Stripe | Payments, subscriptions, refunds and the subscription management page |
| Google (Firebase) | Accounts, licence records and the mailing list |
| Netlify | Website hosting and the services behind it |
| Resend | Sending service emails |
| Mailgun | Receiving emails sent to our vncme.co.uk addresses, such as support |
| Google Fonts | Loading the website’s fonts (your browser connects to Google, which receives your IP address) |
We may also disclose data if the law requires it, or to protect our rights, for example against fraud.
When data leaves the UK.
Some of our providers process data outside the UK, including in the United States. Where they do, we rely on UK adequacy regulations (such as the UK-US data bridge, for providers certified under it) or the UK’s approved contractual safeguards to protect it. Email support@vncme.co.uk for details of the safeguards that apply to a particular provider, including a copy where contractual safeguards are used.
No longer than we need.
| Records | How long we keep them |
|---|---|
| Invoices, payments and other accounting records | Six years from the end of the company financial year they relate to, as UK company and tax law requires (longer only if the law requires it). Stripe keeps its own payment records too. |
| Account and licence records | While you have an active subscription, then two years after your last subscription ends, so you can return or ask about a past purchase. Then we delete them, except what we must keep as accounting records. |
| Device identifiers | Removed from your licence when you deactivate that computer, or when your account and licence records are deleted. |
| Activation and security logs | 12 months. |
| Mailing list | Until you unsubscribe. After that we keep only your email address, marked as unsubscribed, so we don’t contact you again. |
| Support emails | Two years after your question is resolved, or longer if needed for a dispute or legal claim. |
We review our records at least once a year and delete those we no longer need.
You stay in control.
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or send it to you in a portable format. Where we rely on your consent, such as the mailing list, you can withdraw it at any time. Email support@vncme.co.uk; we’ll respond within one month.
If you’re unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to put things right first.
Only what the site needs to work.
We don’t use advertising or analytics cookies. When you choose to sign in to your account, Firebase uses your browser’s storage to keep you signed in; that’s needed for the account pages to work. We don’t use cookies or browser storage for anything else.
VNCme is not intended for children under 16.
If this policy changes.
We’ll update the date at the top of this page, and email customers about any significant change.
